Position Overview Provide assistance to Human Resources processes at all business locations. Administer employee health and welfare plans and act as liaison between employees and insurance providers. Resolve benefits-related problems and ensure effective use of plans and positive employee relations. Ensure that certain plans are administered in accordance with federal and state regulations and that plan provisions are followed. Provide administrative support to the human resource function including record-keeping, meeting scheduling /planning, file maintenance, HRIS entry and front desk reception support as needed. Responsibilities Create and maintain HR files and documentationincluding personnel and contractor for global and domestic populations. Utilize HRIS reporting tools to create routine and ad hoc reports. Ensure I-9 compliance including the initial verification, review and maintenance of forms. Respond to Audit requests for documents and review and respond to data discrepancies. Perform data entry/retrieval of background checks, education and employment verification of candidates. Organize new hire Orientation agendas; reserve the rooms, ensure facilitators for each session are scheduled; order lunch, etc. Prepare all new hire forms for Orientation packets. Create and maintain Personnel File folders and OSHA files on all active and terminated employees. Serve as primary contact for plan vendors and third-party administrators. Coordinate transfer of data to external contacts for services, premiums and plan administration. Document and maintain administrative procedures for HR and benefits processes. Ensure timeliness and accuracy of benefits for employees. Review COBRA, FMLA and STD actions by third-party administrators to ensure accuracy and compliance with organizational and governmental requirements. Reconcile monthly billings and provide reports to finance team. Provide support for employees� understanding of the company�s benefits package. Support Open Enrollment by assisting with the distribution of benefit materials and summary plan descriptions. Relieve Receptionist for breaks to greet incoming calls, visitors, guests and employees. Ensure all calls dealing with tissue are handled with urgency. Assist HR Director and members of the HR Leadership Team as needed, such as SAP vendor setup, expense reports, processing invoices for payment and other projects as needed. Facilitate password resets for employees. Explain HR policies, procedures, laws and standards to new and existing associates. Ensure New Hire Paperwork is completed and processed in a timely manner.
