          Job Description

          Bowhead is looking for an Administrative Assistant.Working with the JPEO CBDthe candidate shall facilitate efficient office operations and apply traditional and innovative methodologies for team building and strategic planning.

           

          The candidate shall perform all aspects of administrative support for the organization, including, but not limited to, the following:

           

           


          • Maintaining order within the office by organizing both electronic and paper, technical and administrative files in accordance with applicable regulations; managing schedules for program management leadership and staff; maintaining office reference materials; and developing and updating personnel rosters

          • Processing and transmitting correspondence as required by the Government lead, to include editing grammatical and formatting errors, verifying for conformance to policy, insuring corrections are made, and preparing for review and signature

          • Tracking, assigning, and responding to information requests related to scientific, acquisition, and fiscal status and goals of the program

          • Drafting program documentation and briefings, as required, to support data calls

          • Controlling inventory (i.e., monitor content, order, store, and issue administrative supplies and equipment) and managing postal services

          • Developing, editing, and updating Standard Operating Procedures (SOPs) to document operational guidelines within the office and ensuring that any corresponding objectives, activities, and/or deadlines are communicated and enforced across the organization

          • Maintaining office access security by screening callers and visitors to the office; developing and implementing facilities, infrastructure, and physical security; leading Government personnel security efforts by following applicable security regulations and using Joint Personnel Adjudication System (JPAS); and identifying security risks and developing, recommending, and implementing mitigation solutions

          • Assisting to coordinate all Government and non-Government related training, to include ordering supplies, sending out announcements, scheduling conference rooms and setting up the training environment
             

          Additionally, the candidate shall support program leadership by coordinating all interagency

          (i.e., internal and external stakeholders, both within the Government and internationally) interaction, including coordinating with staff and leadership of other organizations, and planning and executing internal and external meetings (e.g., sending out meeting requests; ensuring background documentation is prepared; developing an agenda; setting up the meeting space, web conference, and/or teleconference), scientific conferences and special events..

          Required Skills

          Successful completion of a full course of study in an accredited college or university leading to a Bachelor’s Degree, preferably with a major in Engineering, Business Management, or a related discipline, and DAU Level certification in PM, or the civilian equivalent, are required.

           

          Preferred Skills

          Eight years of general experience, five (5) years of experience in a program office or similar organization, and three (3) years of experience in a program management position with cost, schedule and performance responsibilities

           

          Security Clearance Required: Must be able to obtain a clearance at the SECRET level.

          Required Experience

          Bachelors Degree is required.

           

          Candidates must pass a Non-DOT pre-employment drug screening, and must follow all Non-DOT Drug and Alcohol Testing Program Requirements.

          All post-secondary education listed on a Candidate’s application and resume must be verifiable, including but not limited to dates of attendance and degree/diploma awarded. Post-secondary education includes any courses taken through an accredited college or university in pursuit of a degree.

          UICTS/Bowhead will check the motor vehicle records of any job applicant where driving may be required or where a rental car must be obtained for business travel purposes. The applicant's job offer may be contingent upon this driving record check. The driving record check will include review of any appropriate state records based on the employee's application and resume. If driving is required for the position and the applicant does not have a valid driver's license, or has a driving record that meets or exceeds the criteria listed under the Unacceptable Status, the applicant will not be hired.
